The problem is not any one process. It is that none of them agree.

Each entity has its own ERP, its own chart of accounts, its own delegation matrix and its own local rules, and the group has to produce one position from all of them. Group controls exist as policy documents rather than as controls, so whether they were actually applied to a given invoice is a question answered by sampling. VapusFin puts the same verification in front of every entity and keeps each one's own rules intact underneath it.

Know what is going out, before it goes out

A CFO's problem with accounts payable is rarely the arithmetic. It is that spend commitment, verification and payment happen in three different places and only reconcile afterwards.

    Every payment across every entity in one view, with what it is for, which contract authorised it, which checks it passed and who approved it — before the payment run, not in the reconciliation afterwards.

  • An audit-ready position on any day

    Checks, approvals and evidence are recorded as the work happens, so a sample request is a lookup. There is no separate exercise to assemble the audit file, because the audit file is the working record.

  • Fraud and duplicate prevention built into the flow

    Vendor impersonation, redirected payments and duplicate invoices are checked before disbursement rather than reported afterwards, and every hold names its reason and its approver.

Review the exceptions, not the population

A controller's review capacity is finite, so the question is not whether everything is checked but which things a person has to check personally.

  • Line-item three-way matching

    Invoice lines matched to purchase order lines and goods receipt lines, with fuzzy matching on descriptions and exact matching on quantity and price. Partial deliveries and consolidated invoices are matched at line level rather than rejected wholesale.

  • Contract compliance applied to every invoice

    Rate cards, payment terms, permitted surcharges and tax treatment are read from the master agreement and applied to each invoice under it. A charge the contract does not allow is held with the clause it contradicts.

  • Exception routing that cuts review load

    Exceptions go to the person who owns that exception type, carrying the two conflicting values and the source documents. The review is a decision on a named difference rather than an investigation from a blank page.

  • Entity-specific approval chains and GL mappings

    Each entity keeps its own delegation matrix, thresholds, chart of accounts and mapping rules, while group-level policies apply across all of them. Local rules do not have to be flattened to get a consistent group control.

Consolidation that does not wait for the entities

Intercompany transactions are matched and eliminated as they occur rather than at period end, and residual differences are attributed to a side rather than netted away, so the group close starts from a reconciled position.

    Where two entities disagree, the difference is quantified and assigned to the entity that has to resolve it, with the underlying records attached.

How many entities can VapusFin support?
Entities are configuration rather than separate installations, so adding one is a setup exercise rather than a deployment. Each carries its own chart of accounts, approval matrix, thresholds, currencies and local rules, and consolidates into the group. If you have a specific structure in mind — shared service centres, entities on different systems, or an entity mid-migration — tell us and we will walk through how it is modelled.
Which ERPs does it work with?
The list on this page is drawn from our integrations catalogue rather than retyped, so it reflects what is actually connected. Where an entity runs something not listed — including an in-house system — connection is scoped explicitly during onboarding rather than assumed.
Do all our entities have to be on the same ERP?
No, and most groups are not. Each entity connects to whatever it runs, and the verification, matching and consolidation happen above that layer. Entities on different systems reconcile against each other from their own records.
How do group policies coexist with local approval rules?
Group policies apply across every entity as checks that cannot be locally disabled. Local delegation matrices, thresholds and account mappings sit underneath them and stay specific to the entity. Where the two conflict, the group policy holds and the conflict is reported rather than silently resolved.
What does the security review involve?
Deployment location, access control model, data handling and audit logging are all reviewed before anything is connected. VapusFin can be deployed in-region, in your own cloud account, on-premises or fully air-gapped, so the answer to 'where does our finance data sit' is a configuration decision you make.
How long does an enterprise rollout take?
Scoped per deployment, because it depends on the number of entities, source systems and approval chains involved. The four onboarding stages and their exit criteria are described on the VapusFin overview page, so you can see what has to be true before each one closes.
